How do you find out there is a problem with your PAN application?

There are three places to look. Check all three before you decide what to do.

  • The status page. Track your application on the site where you applied: Protean with the 15-digit acknowledgement number, UTIITSL with the coupon number, or Instant e-PAN with Aadhaar and OTP. Protean's help article says the reason for a rejection is usually shown with the rejection status. How to check PAN status.
  • Your email. Protean says the rejection reason may also be sent by email or post. Search your inbox and spam folder for "PAN", "Protean" or "UTIITSL".
  • SMS and post. When the card is dispatched, Protean says you get a consignment (tracking) number by email or SMS.
Tip

Write down the exact words on the status page, with the date. When you call the helpline, read them out. It saves time and avoids guesswork.

Why are PAN applications held or rejected?

The status or email should give the actual reason. These are the common ones, based on official forms and FAQs. The first column is the problem; the last is how to fix it next time.

ReasonWhat it meansHow to fix it
Details don't match the documentsProtean lists "mismatch in details between the application form and supporting documents" as a rejection reason. Name spelling, father's name and date of birth are the usual culprits.Copy every detail exactly as it appears on your proof documents. Use the same spelling everywhere.
Wrong date of birth proofSince 1 April 2026, Protean says Aadhaar is no longer accepted as proof of birth. The Form 93 document list keeps Aadhaar only for identity and address.Give a separate proof, such as a birth certificate, Class 10 certificate, passport or driving licence. Documents required for PAN.
Papers didn't arrive in timeIn physical mode, the signed acknowledgement and proofs must reach Protean within 15 days of applying online. Late papers may hold up the application.Post early and keep the courier receipt. Or choose paperless e-KYC and e-Sign, which need no posting.
Photo or signature problemProtean lists "signature mismatch" as a reason. Its form page says a mark covering the face may stop processing, and the signature must go across the photo on the left side of the acknowledgement.Use a recent clear colour photo. Sign the same way on every page, inside the boxes.
Incomplete formThe Income Tax Department says an incomplete form is treated as invalid.Fill every mandatory field and attach every mandatory document.
You already have a PANThe Income Tax Department says a person cannot hold more than one PAN, and cannot apply for another once one is allotted.Find your old PAN instead. Find your PAN number.
Details differ from AadhaarAadhaar is mandatory on Form 93 for most applicants (some categories are exempt). A name, date of birth or gender that differs from the Aadhaar record may cause problems with processing.Make the form match Aadhaar, or update Aadhaar first if Aadhaar is wrong. Our PAN vs Aadhaar name checker shows the kind of difference. To fix Aadhaar, see fix a name or DOB mismatch in Aadhaar.
Important

If the status, email or letter tells you to send a specific document, follow those instructions exactly and keep proof of sending. We could not find a public, official "reply to discrepancy" form on Protean or UTIITSL. If no reply route is given, call the helpline before you apply again.

What should you do if your PAN application is rejected?

The Income Tax Department's FAQ says a rejected application is treated as invalid, and a fresh application is needed with correct details and mandatory documents. So the job is simple: find the reason, fix it, and apply again.

What to do after a PAN rejection
  1. Status or email says the application is rejected
  2. Is the reason shown? No: call the helpline with your acknowledgement number (what to keep ready)
  3. Are you sure you don't already have a PAN? No: find your old PAN instead of applying (find your PAN)
  4. Fix the cause: matching details, right DOB proof, clear photo and signature
  5. Submit a fresh application and pay the fee again
  6. New application processed; track it with the new number
  1. Read the exact rejection reason

Open the status page and your email. Protean says the reason is usually shown with the rejection message, or sent by email or post. Note it word for word.

If no reason is shown: call Protean on 020-27218080 or UTIITSL on 033-40802999 and ask for it.

  2. Rule out an old PAN

Maybe a parent, employer or bank got you a PAN years ago. Check old ITR papers, Form 16, bank KYC or demat statements. If you find one, use it and don't apply again.

You'll know it's safe to reapply when you are sure no PAN exists in your name.

  3. Fix the cause before you start

Match your name, father's name and date of birth to your documents. Use a date of birth proof other than Aadhaar. Get a fresh photo if the old one was unclear. Use the reasons table as a checklist.

  4. Submit a fresh application

Apply again on Form 93 through Protean or UTIITSL, and pay the fee again. That's ₹107 with a card or ₹72 for e-PAN only, a little less paperless. Paperless e-KYC with e-Sign avoids the 15-day postal deadline. How to apply for a new PAN. Foreign citizens use Form 95; if unsure, try the Which PAN form tool.

You'll know it worked when you get a new acknowledgement number by email.

If the same reason comes back: ask a PAN centre to check your documents before you try a third time.

  5. Track the new application

Use the new number only. The old number belongs to the rejected application. Check PAN application status.

Myth

"Apply again with the other agency, and you'll get your PAN faster." If your first application is still being processed, a second one can end with two PANs. The Income Tax Department says a person cannot hold more than one PAN and must surrender any extra. Apply again only after a clear rejection.

Do you get the fee back if your PAN application is rejected?

Usually not. Protean says fees paid for rejected applications are generally non-refundable. You pay the full fee again for the fresh application.

Protean's application page does mention a cancellation and refund request for data-entry errors you spot before sending the signed acknowledgement. The page doesn't explain timelines or conditions, so ask the helpline if this applies to you.

Tip

If an agent or shop filled your form, their service charge is separate from the official fee. Ask them before you pay again whether they will refile for free when the mistake was theirs.

What if your PAN is allotted but the card hasn't reached you?

Good news first: once a PAN is allotted, the number is valid. The card is only a printed copy. You can use the e-PAN while you sort out the post.

PAN card not received: what to do
  1. Status shows PAN allotted and card dispatched
  2. Download the e-PAN so you can use your PAN now
  3. Track the Speed Post number on India Post
  4. Did the card reach you? No: check at home and the post office, then call the helpline (steps)
  5. Still lost: order a reprint for ₹50
  6. Card in hand; keep the e-PAN PDF as a backup
  1. Confirm the PAN is allotted and dispatched

Check the status page. Protean says the dispatched status should show a Speed Post or courier tracking number. Note it.

  2. Download the e-PAN now

The e-PAN is a digitally signed electronic PAN. Download it from the agency that issued your PAN. It is free for about 30 days (Protean) or one month (UTIITSL) after allotment, then ₹8.26. How to download e-PAN.

You'll know it worked when you have a PDF showing your PAN, name and photo.

  3. Track the card on India Post

Enter the consignment number on indiapost.gov.in. It shows where the card is now. Protean's help article covers cards not received 15–20 days after dispatch: check the tracking first.

If it shows "delivered" but you don't have it: ask family, neighbours or building security. Then visit your post office with the tracking number.

  4. Call the agency's helpline

If there's no update for several days, Protean advises contacting the agency's helpline with your acknowledgement number and tracking details. Protean: 020-27218080. UTIITSL: 033-40802999.

  5. Order a reprint if the card is lost

You'll know it worked when you get a reprint acknowledgement and payment receipt.

What if the card was returned undelivered or sent to the wrong address?

Tracking may show the card was returned, or you may notice the address was wrong. The official pages we checked don't explain what happens to a returned card, so start with a call.

  • Call the helpline first. Ask whether the card can be sent again, and what address is on record.
  • Address on record is wrong? Correct it first with Form CR-01, then get a card at the new address. How PAN correction works.
  • Address on record is right? Order a reprint for ₹50. It goes to the communication address on record.
  • Moved house since applying? Update the address before ordering a reprint, or the new card will follow the old address.

What if the e-PAN email never arrived?

Protean says the e-PAN PDF is sent to the email address on your form, if you gave one. If nothing arrived:

  • Check your spam, promotions and updates folders.
  • Look at your acknowledgement. Was the email address typed correctly? A small typo sends the PDF elsewhere.
  • Download the e-PAN yourself from the agency that issued your PAN. You usually need your PAN (or acknowledgement number), date of birth and an OTP; the form may ask for a few other details. e-PAN download guide.
  • For Instant e-PAN, the current FAQ says a confirmation goes to your Aadhaar-linked mobile. Use Check Status / Download e-PAN on the e-Filing portal.
